Title: Property Assistant

Salary: Dependent upon Experience
 
2. OVERALL PURPOSE OF THE JOB
  Assist the property management team with all aspects of administration in relation to the commercial and residential property portfolio. Duties will include updating the database, logging maintenance calls, amending client records, issuing notices, demands, reminders and all other letters to tenants as required.
 
3. SPECIFIC RESPONSIBILITIES
  Lettings – assist with general administration and relevant compliance paperwork on new tenancies. Input, review and monitor lease agreements on the property program. End tenancies on the system and provide administrative support behind this. Produce and issue credit control communications. Process all rent reviews on the property program. Be the first point of contact for all maintenance issues and report them to the relevant department. Communicate effectively with sub-contractors and suppliers regarding maintenance.Develop introduction/welcome packs for new residential and commercial tenants. Understand and use ‘Arthur’ the new property management programme to log and send out information efficiently. Develop, update and collate key information on commercial tenants to enable effective marketing and communications. Devise a system in conjunction with the marketing team to record all residential enquiries to enable us to send marketing information when a property becomes available. Devise a system to record all commercial leads. Assist the Head of Property with communications to all Tenants.
4. EXPERIENCE/SKILLS/PERSONAL CHARACTERISTICS
Skills required to do the job:

Previous Property lettings experience.
Excellent communication and written skills.
Knowledge of a bespoke Property Software.
Good knowledge of Microsoft Office/Excel.
Good IT & Website skills.
Ability to be flexible and work as part of a team.
 
Desirable skills to do the job:

Commercial property exposure.
Knowledge of Arthur property management software.
6. REPORTING
Reports to: Head of Property
7. EMPLOYMENT CONTRACT
The post holder will be part of the Property Team, based at the Estate office.
Work hours are 37.5 hours per week. Mon-Fri, 9am-5pm with an unpaid hour for lunch.
The post holder will undergo a three-month trial period.
Holiday entitlement is 25 days per year, plus Public Holidays.
A basic healthcare plan and employers auto enrolment pension scheme are offered after successful completion of the probationary period.
